ERP Software is the term used to identify the systems solutions that organize all the data generated by the operating procedures of a business and then makes it available to every department. In this way, the data is formatted and centralized in a way accessible to all divisions in real-time. ERP software systems consist of application modules for the financial and human resources facets of a company as well as modules for: purchasing, orders, performance, inventory, and customer satisfaction.

The use of ERP software systems by a company inherently implies that the business wants to function as a more streamlined operation. The goal of ERP software is to improve the internal processes of a company in such a way as to allow business executives to make more informed decisions which will reduce costs and increase profit.

As a result, ERP software became fairly commonplace in the business world; and in this day and age, almost all businesses with more than fifty employees have employed some level of ERP software. So by now, the real question is no longer whether or not to purchase ERP software, but if and when to replace the original ERP system with a new one.

The best time, and many say the only time, to select and implement a new ERP software system is when the original system being used is no longer supported by the vendor or when the legacy system is no longer satisfying the needs of the company because the company has grown more complex. Even if these conditions are met, however, businesses are reluctant to put out the monetary and labor resources necessary to go through a second implementation.

Often, it has been left to a company’s IT department to try and convince those at the highest level of management that a new ERP software system will be worth the additional time and money because it will create a huge return on investment. If the IT people are unsuccessful in their efforts, the most likely result is that the company will struggle along inefficiently and ineffectively.

Yet these are not the only options. It is possible to upgrade an original, legacy system and get it to the point where it is comparable to a new software system. The best ways to extend the viability of the existing ERP software are: system upgrades, improving business processes, improving the infrastructure, third party solutions, customization, and integration.
