Business accounting software backed by the power of ERP will help you to succeed.

Rolling out a new ERP (enterprise resource planning) accounting program is sometimes met with resistance from a considerable proportion of the staff who will be using the new erp software.  Resistance is often merely an outward expression of the trepidation many feel when change is on the horizon.  Some might say that this is human nature and that is, to a small degree true, however, the human being is also an adventurous creature in many ways.  Where would the USA be if explorers had never left Europe or Scandinavia?

Training is as important as the software itself

Change is inevitable if progress is to be made and the changing demands of business to be met. To make the introduction of new ERP accounting software go as smoothly as possible, well-planned rollouts have to include sufficient training.  Some businesses choose to do this training by means of professional trainers that are often worked into the purchase agreement for the new accounting software package.

Consultants and professional trainers specializing in implementation of ERP systems have become a sub-industry among technical professionals. In-house business analysts also serve as subject matter experts in their particular areas of expertise (accounting, materials management, marketing, etc.) and are frequently handed additional responsibilities as trainers.

Gaining popularity is electronic training made available via intra and internet websites.  This approach has the advantage of allowing the employee to train at his or her own pace and use the training materials as reference materials.  This is a great boon to computer savvy individuals who are comfortable with technology as an everyday tool.  It should be noted that this is not necessarily the only approach and that everyone learns differently

“If it ain’t broken, don’t fix it,” is a phrase that has a familiar ring to it.  For all staff to readily buy in to such a major change without any push back, is rare.  Most resistant are those who have also become the most comfortable with the legacy system and for these “resisters” live training sessions often work miracles in getting them on board with the new system.

It is good to get the most resistant individuals involved first.  They should be among the testers as they will often unearth some fine tuning that needs to be done and though they take pride in ownership of the current system and their own expertise in using it, they will become equally as enthusiastic about the new accounting software if they have a larger personal stake in it.

Create power users within a department if possible single out the most vocal of resisters and make them a vital support tool if they have the aptitude.  Minimize the onslaught of go-live for IT with power users who know that individual jobs as well as the software.  Shorten the learning curve and provide end-users with the on-site support of a co-worker and it will be business as usual in very short order.

It is important for technical staff to remember that accounting department employees are in the business of accounting.  For them, ERP accounting software is nothing more than a tool.

Preparing for the introduction of new ERP (enterprise resource planning) accounting software is an onerous task but it need not be a painful one. Viewed as an opportunity, tangential benefits are there to be gained as a value-add of the implementation.  With a sufficient budget and correct approach, training can be used as an exercise in team and morale building as well as a preparatory activity for the roll out of new ERP accounting software.

ERP Accounting Software Success, pt. 2

Training is as important as the software itself

Aside from the increased functionality of a new ERP accounting software package, the training process can carry additional benefits in terms of interdepartmental good will and team building.  More effective than hours of lectures and passive information acceptance, hand-on training encourages the end-user to approach the new software in a secure, low-risk setting. Application of the information is a true learning experience. Designating a specific area or location as a training facility and setting up work stations or thin clients tied to a dedicated server are some of the best ways to train end-users.

The hands-on approach is particularly good for obtaining the end-user buy in that is so essential for a successful erp implementation. Training can even be a pleasurable experience if well done.  Functioning as a confidence builder, it is more likely that even those employees most resistant to change will espouse the new system more readily and bring others with them.

Training is a great investment in a company’s most valuable asset, its personnel. Comprehensive, thorough training reaps benefits beyond getting a system up and running. Knowledge is indeed, king and adequate training preparations will do much to minimize down time and ease the learning curve. ERP accounting software processes transactions that keep the cash flowing and the business running day to day and as such, introduction of new accounting software can be challenging.
When end-users are comfortable with the tools that they are given, they can be the greatest cheerleader for progress in any organization and that translates into the improved processes, efficiency and profitability that prompted the adoption of a new, more powerful system.

New software can be intimidating.  If the introduction is done in a safe, pleasurable setting the shock of change softens and the mind opens.  Using real life scenarios affords the trainer the opportunity to present change as a positive thing. Creating scenarios that are fun with a bit of humor lighten the atmosphere during a process that is often stressful.  This investment in personnel is money well spent resulting in cost savings.

Be patient and encourage questions. Remember, their job is not IT but accounting or materials management or whatever.   Don’t assume that what is rote to technical staff is within the basic knowledge of the end-user. End-users come in all shapes, sizes and technical skill levels. Supply the students with usable indexed manuals for future reference and links to online tutorials if they are available.

If trainers remain approachable and accessible an important piece of the new ERP accounting software rollout puzzle will be found, making an irreplaceable contribution to completing the implementation picture.

Some accounting software programs have moved from the packaged box to online versions. However, they still can’t compete against the powerful appeal of enterprise resource planning (ERP) and Web-based applications of the software system. An ERP accounting software system can do so much more than any single source software program. That’s because it offers more and works differently than any other program in the marketplace. The enterprise system is integrated, so that all of the software application modules are connected and can communicate in real time. The system is also automated, so that processing business tasks is quick and accurate. You can also see what is taking place every step of the way, because of the real time visibility that the system offers. Accounting involves doing so many different things, so it is important that you work with software that is flexible in its approach.

The Changing Face of Accounting Software

With ERP, you can pile on the application modules. You can assign them for as many tasks as is necessary. That’s why this software system has become so popular. All of the software you need is provided within one system that is convenient and efficient. Employees can collaborate on and share information, and they communicate ideas and feedback on the spot. Enterprise software is growing in its appeal because it is all-inclusive and not complicated. It provides the tools for monitoring and tracking information and data and reduces the need for the dispensing of paper work. From the warehouse to the accounting department, real time visibility is provided.

If someone in manufacturing needs inventory, supply chain management will know, because they have access to that information, right now; it is shared.

The accounting department has to work closely with all other units of the business, so it is important that it has all of the application modules it needs to complete any task before it. These might include accounts payable and receivable, expense reporting, job and project tracking, payroll, customer support and service, departmental budgeting, e-commerce, the general ledger and more. With an ERP accounting software platform all of these applications would be accounted for with modules that are either stand-alone or bundled. Application modules are also provided for diagnostics - reporting on activities, making analysis and providing business intelligence to management. The beauty of the system is that it provides seamless integration throughout the enterprise and goes any further, by automating the platform for the speedy transmission of processing business tasks.

If your business is interested in learning more about ERP accounting software you should do some research and get yourself a demonstration of the system. It’s available on-demand, online, 24/7. And though your employees will be working a little bit differently than they are accustomed to, they will grow to like the ease and convenience that this system offers. All of the systems are not alike, they differ. That means you will have to do your homework and narrow them down to one or more that would best suit your particular needs.

You can work smarter when you utilize ERP and accounting software that is super charged.

Financially your accounting department has at their disposal a robust general ledger in the OMS ERP that easily produces your company’s balance sheet and income statements.

ERP Software

Record it, Account for It, Reconcile It, Report It

Your charts-of-accounts are easily adopted and you may have as many as 100,000 general ledger accounts.  Reconciliations of your bank accounts, cash transactions, and inventory and cost of goods sold (whether perpetual or periodic) allows for easy and accurate calculation of cost of goods sold.  Reconciling and posting of receivables, payables, producing 1099’s, are other tools to use for audit controls.  You may even add divisions and departments to your chart of accounts.  You may produce divisional income statements with automatic consolidations.  You can pay commissions, pay royalties, generate and track non-sales invoicing and, it’s all integrated in the OMS ERP business software solutions.

Many companies and governmental organizations are choosing to outsource the administration of their Information Technology (IT) departments. As this practice increases in popularity, and outsourcing contracts change hands, at least one additional layer to the IT administration onion, ERP and accounting software, and more specifically accounting software licensing.

Accounting Software

Transferring Accounting Software from one outsourcer to another

When it comes to the ERP and/or accounting software system piece of a company’s infrastructure administration, usage and functionality of an organization’s ERP accounting software package is intricately connected to licensing structure and ownership. Some considerations:
1.    Accounting software licensing provisions and maintenance terms can be prohibitive to the outsourcer’s effective IT administration on their client’s behalf.
2.    The outsourcer must be a formally designated agent for the client.
3.    Maintenance and security certificate administration related to the accounting package in conjunction with the Internet and intranet can be tied to and affected by the original purchase.
4.    Legacy issues associated with previous outsourcer. Compliance issues can also arise out of creative licensing solutions.
Software licensing issues are often affected by a number of factors. The five items listed above can affect the client and the outsourcer in the following ways.
1.    Some software and hardware providers do not allow for the third party procurement of their products on behalf of their client and may present a problem to administrators if licensing cannot be transferred to the new contractor.
2.    This often involves a formal process and paperwork without which licensing compliance is null and void. The status is not transferable and re-filing is often required.
3.    Maintenance and security certificates (metered) used on an Internet site may have originally been purchased directly by the client.  Administration of these contracts and certificates may be designated to a particular individual in the company and while certificates may be moved around between servers, doing so will be difficult if originally purchased by the client company and often results in nullification and expiration of certificates has real life consequences. Electronic transfer of funds can be rendered inoperable when certificates expire and Internet sites are brought down.
4.    If an outsourcer has won a contract from another outsourcer, non-transferable licenses will have to be re-bought and should be factored into the transition budget.

The process for transferring software licensing and security certificates is not often a simple one. As with any asset, identifying inventory is the first step. A thorough self-audit is essential. It is also a safety net with regard to outside auditors.

Creating a database for licensing agreements, security certificates, maintenance and service agreements will allow for effective management of renewal schedules for maintenance and software agreements and minimize the downtime caused by unexpected expirations.

Accounting software and ERP software system licensing is highly dynamic. It is important to work as closely as possible with the legacy organization to know special licensing provisions or cost–saving measures that may have been taken that can affect or create licensing transfer issues.  Having expert licensing professionals on staff is well worth associated consulting fees for a smooth transition.

For years, companies have simply looked at IT budgets as a necessary and unavoidable cost of doing business. Yes, buying, owning and maintaining software applications was expensive, but what were the alternatives? Gartner, the leading IT research firm, estimates that companies pay four times as much annually to operate software applications than they paid for then in the first place. It is no surprise then that cloud computing is gaining so rapidly in popularity; once applications leave the building and are accessed from anywhere in the world through a web browser, the total cost of ownership tends to plummet. Now, even such brass tack applications as accounting software are available through the cloud. As befits an accounting discussion, this paper looks at the four major sources of savings when moving from traditional software to cloud software.

Accounting Software

Cloud Accounting Software Turns TCO models On Their Heads

IT Overhead. Most of a typical IT budget goes in roughly equivalent chunks to personnel cost and hardware. Software—new functionality, improved efficiencies, innovative new erp solutions—get what’s left over. It takes a lot of people to maintain the software already purchased and it takes a lot of the software budget to pay additional license fees year after year. In TCO studies, companies frequently underestimate the “people” costs associated with servicing their erp applications. Hardware and software costs are easily quantifiable. How big a bite out of the remaining IT budget is eaten up by software support deserves closer analysis.

Cloud computing dramatically changes that allocation. There is far less hardware investment to make because the cloud erp vendor is maintaining the hosting service and data centers. That reduces IT personnel requirements, too, since the support staff is now external to the corporation.  Much more of the budget is freed up to deploy additional cloud applications to serve other parts of the business.

Managing Growth. Traditional software requires a company to buy seat licenses in 50 or 100-user chunks. Companies who expect to grow often sign up for the number of users they’ll eventually have, and end up paying far too much for far too long. This expense tends to “disappear,” resurfacing only annually in the fine print of the annual license renewal.

Cloud software more flexibly grows with your business. You start paying monthly for only as many users need to have access. A day later, a week later, you can add or subtract seats. The total is reviewed monthly, so you are never paying for more than you are actually using.

The Permanent Honeymoon. Cloud computer vendors know they have to earn your business every month. As the outsourced portion of you IT support staff, they know they have a commitment to provide excellent customer service on an hourly basis. It’s like a perpetual honeymoon, with you, the customer, the constant focus of the vendor’s attention. Compare that with traditional software. After you buy it, it is your problem. If the software doesn’t work right, or you are only getting half the expected benefits, the software vendor is not on the hook.  With cloud applications, service never stops.

Free innovation. With traditional software, bug fixes, upgrades and extensions come but once a year, and at great expense, not just for the software, but for the cost of roiling them out across the enterprise.

With cloud computing, upgrades and fixes happen all the time, seamlessly and in the background, and usually at no additional cost. You get access to the latest innovations without having to wait for them or pay for them.
